What we collect
| What | When | Why |
|---|---|---|
| Name, phone number, email address | When you fill in the quote form, ring us or message us | To reply to you and arrange the work |
| Address or postcode | When you book a collection | To find the job and price it correctly |
| Photos you send us | When you WhatsApp a picture of the waste | To quote accurately before we set off |
| Job and payment records | After we have done the work | Accounting, and the waste transfer records the law requires us to keep |
| Cookie preference | When you answer the cookie banner | So we do not ask you again on every page |
We do not ask for special category data, and there is no need to send us anything sensitive. If a clearance involves personal documents or belongings, we do not read, copy or keep them.
Our lawful bases
- Contract — to quote for and carry out work you have asked for.
- Legal obligation — waste transfer records and accounting records we are required to keep.
- Legitimate interests — running and protecting the business, replying to enquiries, and keeping basic records of jobs done. You can object at any time.
- Consent — for any non-essential cookies, and for marketing messages if we ever send them. You can withdraw consent whenever you like.
Who sees it
Only the people who need to: whoever is doing your job, and whoever does our books. We also use a small number of service providers who process data on our behalf:
- WhatsApp (Meta Platforms Ireland Ltd) — if you message us there, your message and phone number are handled under WhatsApp's own privacy policy.
- Our website host — [HOSTING PROVIDER], which keeps standard server logs including IP addresses for security.
- Google Fonts — the site loads two typefaces from Google's servers, which means your IP address is visible to Google when a page loads. Tell your developer if you would rather the fonts were served from this site instead.
- Checkatrade — only if you choose to leave us a review there. That is between you and them.
We do not sell your data, and we do not share it for anyone else's marketing. We will only hand information to third parties where the law requires it — for example a local authority or Natural Resources Wales investigating waste.
How long we keep it
- Enquiries that do not turn into a job: up to 12 months.
- Customer and job records: 6 years after the work, to match HMRC's requirements.
- Waste transfer notes: at least 2 years, as required of a registered carrier.
- Photos sent for quoting: deleted once the job is done and paid for, unless they form part of the job record.
- Cookie preference: stored in your own browser for 12 months.
Your rights
Under UK GDPR and the Data Protection Act 2018 you can ask us to:
- give you a copy of the personal data we hold about you;
- correct anything that is wrong;
- delete it, where we are not legally required to keep it;
- restrict or object to how we use it;
- transfer it to someone else in a portable format;
- withdraw consent you have given, at any time.
Email info@alphawasteremoval.co.uk and we will deal with it within one month. There is no charge.
If you are not happy with how we have handled it, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you told us first so we can put it right.
Keeping it safe
Job details are held on password-protected devices and accounts. The website is served over HTTPS. We keep the amount of personal data we hold deliberately small — the less there is, the less there is to go wrong.
Children
Our services are for adults. We do not knowingly collect data about anyone under 18.
Changes
If this policy changes we will update the date at the top. This version: 4 August 2026.
